What to look for when recruiting a temp receptionist

Often described as “the most important person in the office”, receptionists are the first point of contact for existing or prospective clients, colleagues and future employees, either in person, when they greet people at the reception desk, over the phone or by email.

Finding a great receptionist is not easy, as it’s a role with multiple facets and requirements, some very specific to your company’s culture and values.

You need to ensure that they’re not only diligent and focused - especially as working at the reception desk can be noisy and distracting, with frequent interruptions - but also that they’re warm and welcoming. Being able to quickly understand the organisation’s structure (and at times, navigate the company’s politics!) and taking messages accurately is a really important asset for a receptionist, as they can relay information and issues fast to those who can resolve them.

Keeping calm under pressure is also key. That can be a difficult ask when they have to handle complaints, while simultaneously managing a high volume of calls and visitors.

The “eyes and ears” of the business, they finally need to be tactful and discreet, being able to manage sensitive information appropriately.

In a nutshell, this a really hard mix to find! Prior to employing a new receptionist, discussing with their former employers and asking the candidates open questions such as: “Can you give me an example of a situation where you had to handle a difficult customer, what you did, and what the outcome was” can be two really useful ways to confirm whether they have the qualities required for the role.
